Easy Email Manager — Support

Easy Email Manager is a secure place to keep the login details for your email accounts — not an email client, and not connected to your mailbox. Answers to common questions are below, and we're always happy to help by email.

It's not an email client

Easy Email Manager never connects to your mailbox, never sends or receives mail, and never reads a single message. It stores the details you'd otherwise keep in a notes app or a spreadsheet — address, password, hosting company, server settings — so you have them when you actually need to sign in somewhere.

Getting started

Do I need an account or an internet connection?

No, to both. There is no sign-up, no sign-in, and no server. Everything you enter stays on your device, and the mobile app makes no network requests at all — on Android the released app does not even declare internet permission.

This also means there is no sync between your phone and the Web Companion — each stores its own copy, and you move data between them with a backup file.

How do I add an email account?

Tap Add Email from Home and fill in the address and password, plus whatever else is useful: the hosting company, webmail address, and IMAP/SMTP details if you use a mail app that needs them. Only the email address is required — everything else is optional.

What's the Web Companion, and is it the same as the app?

It's a browser version at easymailmanager.eu for when you're at a computer rather than your phone. It stores its vault locally in your browser (encrypted, the same way the mobile app encrypts its database) — it does not share data with the mobile app automatically. Use a backup file to move accounts between them.

Passwords and app lock

Can I lock the app?

Yes. Settings can require Face ID, Touch ID or a fingerprint — with your device passcode as a fallback — before the app will open, and before a stored password is revealed or copied.

How are my passwords protected?

On mobile, everything is stored in a database encrypted with SQLCipher, whose own encryption key is generated on your device and held in the iOS Keychain or Android Keystore — never in a backup, never transmitted anywhere. On the Web Companion, each account is individually encrypted before it's written to your browser's storage, using a key derived from your vault password that only ever exists in memory while the vault is unlocked.

Backup and restore

How do I back up my data, and what happens to my password?

Settings → Backup makes a single encrypted .eembackup file that you save wherever you like. You choose a password when you create it.

Nobody holds a copy of that password — not the app, not us, not Apple or Google. There is no reset and no recovery code. A backup whose password has been forgotten cannot be opened by anyone, ever. Please keep it somewhere safe.

Because the app keeps nothing on a server, a backup is the only way your data survives losing, resetting or replacing your device — and it's how you move accounts to or from the Web Companion.

How does Restore work — will it overwrite what I already have?

You choose: Merge adds anything new and updates matching entries while keeping the rest of your existing list intact, or Replace clears the current list first. Restore always shows you a preview — how many accounts, and when the backup was made — before anything is applied.

Privacy

What information does the app collect about me?

None. There is no analytics, no advertising, no crash reporting, and no device or advertising identifier. The app never asks for your name or phone number, and it has no account with us to sign up for.

How do I delete my data?

There's no account to close — everything is on your device or in your browser. Uninstalling the app, or clearing your browser's site data for the Web Companion, removes it. Backup files you saved elsewhere are yours, and the app never touches them again.

Can I open my webmail from the app?

Yes — if you've saved a webmail address for an account, there's a button to open it in your device's browser. That's the only feature that opens anything outside the app itself.
